Executive Administrative Assistant

Job Qualifications

This person should be a committed Christian who displays a love for the Lord and is in full agreement with our Rockland staff’s statement of faith (see below). The person who will succeed in this role will love the work of administratively supporting those in leadership and anticipating and executing details on their behalf. This person needs to be a self-starter, and effective multi-tasker under pressure, be willing to take initiative and be outstanding at follow through. They should possess excellent computer and administrative skills, and be very organized. This person (and family if applicable) must become a member of Rockland, affirming our mission, vision, values and theology, including getting engaged in Biblical Community.

General Job Description

Provide administrative support primarily for the Lead Pastor and also the Operations Director. Manage relationships and communication between the leadership and multiple people at Rockland and in the broader community as needed. Provide communication and administrative support for the Lead Pastor and Operations Director in matters related to the work of the Senior Staff, Deacons and Elders. Oversee the organization, communication and administration of regular meetings as well as special meetings, and other church events.

Specific Job Details

  1. Initiate weekly meetings with Lead Pastor and Operations Director to review upcoming events, meetings and “to do’s”
  2. Attend regular meetings: Senior Staff, Staff, Outreach and Worship
  3. Coordinate scheduling and arrangements for meetings as needed
  4. Remain current with church calendar along with room usage (Planning Center) and communicate pertinent information to Senior Staff, to ensure leadership is aware of upcoming events
  5. Become a “subject matter expert” for Planning Center applications (Calendar, Services, People, and Workflows)
  6. Have a working knowledge of MS applications (Excel, Word, Power Point), with ability to pivot to similar Mac applications
  7. Assist in the development of budget projections for the senior leadership, as well creating budget expectations for office items.  This would be in coordination with the Operations Director
  8. Maintain procedure manual for this position
  9. Assist in the planning and execution of special events as requested
  10. Ensure that the church is locked and closed each weekday
  11. Perform other duties as assigned, including a wide range of special projects assigned by senior leadership
  12. Maintain Planning Center Worship detail (templates, assignments)
  13. Facilitate the process of church’s bi-monthly publication (“Chimes”). Members create the content. This position would manage the mail-out process in coordination with the office manager
  14. Import email addresses into Mail Chimp for Biweekly emails. Assist Sr. Pastor with proofreading emails, and the announcements that are included in the emails
  15. Oversee Communications and Media:
    • Make sure the website is maintained and updated
    • Coordinate with Communication staff to set up and managing weekly emails
    • Make sure the monthly worship service handout is created, handed out, and picked up
    • Set up MailChimp for the lead pastor email and coordinating with other writers, so that the pastors are focused on writing devotional content
    • Liaison with our graphics designer for church publications
    • Coordinate communications for all church events through print and media.

      • Facebook, Instagram
      • Newspaper ads and Easter & Christmas Eve special ads
      • Create banners
      • PowerPoint slides for Sunday mornings

 Supervisor:  Lead Pastor

Time Requirement:  32 hours per week (Sunday – Thursday) 

Office hours are 8:30 – 4:00, Monday-Thursday

Friday and Saturday are off-days

Sunday work hours are 8am – noon, duties vary

 Coordinates With:  Communications Associate, Care/Discipleship Associate, Office Administrator

Works Closely With:  Deacon teams, Kids & Connections Pastor, Care Pastor, Graphic Design contractor

Choir Director and Worship Leader

General Job Description:
It is the function of the Choir Director and Worship Leader to provide a quality music program, which promotes Christian values and musical worship of God in both contemporary and traditional / blended services.

Job Qualifications:
• This person should be a maturing Christian who demonstrates a deep love and faith commitment to the Lord, a call to the ministry and service to the church.
• He/she shall possess a heart for worship, the ability to lead and teach people about worship, and strong vocal and instrumental directional skills.
• This person should be self-motivated, organized, be able to effectively and compassionately work with people, and have experience with developing and leading worship teams, especially volunteers.
• He/she will have experience directing an adult choir. This person should be able to lead traditional / blended worship as we practice it at Rockland.
• A bachelors in vocal/choral conducting is preferred

• Serve as the shepherd of the choir, making disciples of these musicians, and developing positive connections amongst the members of the choral team
• Work closely with the Pastors and Pianist/Organist to coordinate the adult choir music
• Coordinate and implement all activities of the Adult Choir
o Prepare and conduct a weekly adult choir rehearsal on Wednesday evening
o Conduct all adult choir participation at Sunday worship services
o Organize and direct special music events. (Christmas Cantata, Christmas Eve, Easter/Lent, Maundy Thursday, Ash Wednesday, etc.)
o Select appropriate music for the anthem in coordination with other music staff and pastors
• Ensure that detail, related to the efficient operation of the choir program, is accomplished
o Maintain music library in conjuction with volunteers
o Work closely with the choir liason from the Worship Ministry Team

• Serve as the Worship Leader on Sunday morning during the first hour.
• Work with the Organist/Pianist to prepare, rehearse and execute the traditional service
• Act as primary joy giver to the congregation, in an energetic, uplifting, and engaging manner
• Cultivate a team of volunteer musicians and singers to participate in worship
• Playing guitar is preferred

o Staff meeting and Chapel
o Weekly Worship Planning meeting
• Finances
o Be involved in the annual Worship Ministry Team budget along with the worship staff and the Worship Ministry Team
o Be fiscally responsible to the Adult choir budget
• Substitutes:
o Arrange for a substitute Adult Choir Director and/or Worship Leader as needed
o Notify Pastors and Organist/Pianist of dates of absence and name and expectations of substitute
• Be punctual and prepared for all required rehearsals and services
• Other duties as assigned
